hi I'm Mike Anderson from the open exchange product marketing tomorrow like to welcome you to the ops tutorial series today we're going to cover some of the features and functions within ops app suite and the applications they're in hope you enjoyed the series oops contacts or the address book is where you store all your email addresses and contact information let us now have a quick look around knobs contacts first to get into ops contacts simply press the address book menu option at the top of the screen this will instantly drop you into your own personal contact list area when I click on a person I can see all the information I have gathered about that person also at the top of the screen you can see actions I can perform on that personal with that person's information so here I can create an email directly to that person I click on that there immediately in the to list I can invite that person to an appointment shed you LaMacchia in the calendar here that puts them straight into the recipient list I can edit that person I can delete that person's contact information and I can perform advanced functions I won't currently go into those advanced functions they're fairly clear when you start using the product if I edit the person I can edit all the information that I have stored on that person in my own personal area I can add more information about them by clicking on extra information buttons and I can even do things like add attachments here I could maybe attach a Seabee to a person or something like that at the top you can see I've associated a photograph with that person if I don't like the photograph I can quickly swap that photo out for a different photo you just press ok much better photograph I can save that and now everything's saved the other thing we can do is obviously organize the contacts in a far better way than a single directory so if I open up the the trees toggle structure at the side what I can see is several private directories some public directories and shared directories in my private area this is my generic contacts area here is collected addresses now collected addresses are when I send and receive emails the system can automatically collect the addresses and add them to your address book this is fully controllable if I go into the settings of opps app suite and go into the mail section I can see at the top in the common area two items that allow me to automatically collect addresses when I send to the person or when I receive from that person as well or both so that's the collected addresses and here you can see all the people I've written to and received from at the time I've created a test folder this is empty at the moment we'll see that later there's a public address book now this is if you're sharing addresses with multiple people this is often used in companies and small businesses here the addresses are created centrally I do not have the right to edit this person because they're not me but if I go into my own account I do have edit options to edit my own photos and my own details now how do we actually create a new contact and how do we add a new contact so I want to create a new contact in my new contacts list there are several ways I can do this first I can press the Add button and that allows me to create a contact or distribution list and if I add the contact I can manually enter all the information here there are other ways we've talked about how addresses are collected automatically but also if I'm writing to somebody or I see somebody within the ox' app suite product and I click on their hallo and I get their information what I can do is I can actually copy that information into the address book so here I've clicked on Paul Jones I want to add him to my new contacts test folder I can say coffee I get a confirmation that that person's been coffee and I go back to my address book and we can see all the information on Paul Jones has been captured and stored in my address book that was a quick view through the address book and office contact and that concludes the ops context tutorial thank you very much you .
